Whats GrexIt for?
You have lots of email discussions at your workplace. A good number of those might be of a lot of relevance to people who were not a part of the email discussion. Some quick examples:
- You posted a question to a few of your colleagues. You got some responses, and after a few emails on the thread, you got your answer. This answer might be of relevance to many other people at your workplace who might have the same question that you had.
- You are working on a project and using email heavily to discuss key matters on the project. A new member joins the team, and needs to have access to all these email threads.
- You found a link on the internet that you think your colleagues can use. You forward this to your immediate peers over email, but do not want to send it to everyone as they might not need it immediately, and might consider the email to be spam.
All this is useful knowledge hidden in your inbox, which can be useful to others, and might probably die in your inbox. GrexIt solves this problem by letting you add content from your inbox to an online shared repository, which anyone from your workplace in need of information can access. You can do this using our very intuitive and easy to use browser plugin. Effectively, GrexIt is a very simple tool to let out knowledge that might be trapped inside your email inbox, and open it up to a wider audience which might need it.
GrexIt works for Google Apps users.
What kind of email ids can I use GrexIt from?
GrexIt currently supports only Google Apps email ids. Google Apps is a service from Google providing independently customizable versions of several Google products, including Gmail, under a custom domain name.
This also means you can not sign up to GrexIt with email ids like your-name@gmail.com or your-name@yahoo.com etc.
What is Google Apps?
Google Apps is a service from Google for using custom domain names with several Google products. It features several Web applications with similar functionality to traditional office suites, including Gmail, Google Calendar, Talk, Docs and Sites.
Please note that GrexIt works Google Apps mail, and not with plain Gmail accounts. You can get Google Apps for your domain here.
How do I use GrexIt?
Using GrexIt is simple. You and your colleagues can add email discussions from your Google Apps email inboxes into a shared area, and all of you can then find useful stuff from this shared area. To go through a quick guide on how to use GrexIt, please go through this.
Please remember that once you have added a discussion to GrexIt, GrexIt automatically adds any follow up emails you receive on that discussion in your inbox to GrexIt.
To know about the ways in which you can add email discussions to GrexIt, please refer to the next question in this section. You can also know about other useful GrexIt features like Access Controls and Fetch Rules by accessing the relevant sections from the menu on the left.
How do I add emails to GrexIt?
You and your colleagues can add emails to GrexIt by:
- Clicking on the "Send to GrexIt" button below any email, if you have GrexIt added to your Google Apps account. You can add GrexIt from the Google Apps Marketplace here.
- Using our browser extension, which works for Firefox and Google Chrome. Once you have the extension installed, press the "Send to GrexIt" button while you are viewing an email to add it to GrexIt. You can download and install the browser extension here.
- Forwarding or CC-ing an email discussion to add@grexit.com.
- Setting up a GrexIt Fetch Rule. Learn about GrexIt Fetch Rules and how to set one up here.
Note that in all the methods above, the whole conversation with all messages and attachments is added to GrexIt. GrexIt also automatically keeps track of any further messages you receive on the conversation, and automatically adds them to the conversation in GrexIt.
Can I delete a discussion that was added to GrexIt?
You can delete any discussion that you added to GrexIt. You can also delete any message in a discussion that you added to GrexIt. Refer to the image below for the buttons that you can use to delete a discussion or a message in a discussion.
Additionally, if you are an Admin for the GrexIt account for your domain, you can delete any discussion and any message in a discussion added to GrexIt by anyone under your domain.

How can I stop GrexIt from automatically fetching follow-up emails to the discussions I added to GrexIt?
For any discussions you add to GrexIt, GrexIt automatically fetches any follow-up emails you receive on the discussion after you added it to GrexIt. To switch this off for a discussion you added to GrexIt, use the link shown below while you are viewing the discussion in GrexIt.
Note that if you are the Admin for the GrexIt account for your domain, you can switch this off for any discussion added to GrexIt by anyone under your domain.

What are labels in GrexIt?
Labels in GrexIt are a feature that helps you and your colleagues together organize the content you have added to GrexIt, and collaborate around it. You and your colleagues can:
- Add a label to a discussion.
- Remove a label from a discussion.
- Create new labels inside GrexIt.
While viewing a discussion in GrexIt, you can view the history of all label additions and removals on that discussion by clicking on "Show Label History" on the top right of the discussion view box.
Can I rename or delete a label?
If you are a GrexIt admin for your domain, you can go to the Labels tab in the GrexIt admin panel to rename or delete a label.
Is it possible to control access to discussions in GrexIt?
Yes. You can do it very easily using labels in GrexIt.
If you are the admin for your GrexIt account, you can go the the Labels tab in GrexIt Settings, and define Access Rules for your labels. Now when a label which has an Access Rule attached to it is applied to a discussion in GrexIt, that discussion is accessible only to those people who have access to that label. Please note that :
- If more than one labels with Access Rules are applied to a discussion in GrexIt, then the discussion will be visible to all the people who have access to those labels.
- Discussion which have no Access Rules applied to them are visible to everyone in your organization.

What are GrexIt Fetch Rules
Fetch Rules help you direct GrexIt to automatically fetch important discussions from the email inboxes of people in your organization.
A typical Fetch Rule in GrexIt is: “Pick up all email discussions from the inbox of james@abc.com which have the label ‘invoice’ added, add them to GrexIt, and apply the label ‘Finance’ and ‘Invoice’ to the discussion in GrexIt”.
You can combine GrexIt Fetch Rules with Label Access Rules to automate fetching and access controlled sharing of important emails in your organization. You can learn more about Label Access Rules here.

Do you store my emails on your servers?
GrexIt stores only those mails on its servers which you add to GrexIt using the methods described here. Assuming whatever you send to GrexIt contains important information that can be useful to you and others, its good to keep a copy of the discussion on our servers so that everyone has the content available if you delete that discussion from your inbox, or your account gets deleted altogether on the event of your leaving your current organization.
Is anyone reading my email?
No. No human ever reads your emails that are stored on GrexIt's servers. Our support team might look at your mail only if you contact us with a problem that you are facing with our service, and give us explicit permission to access your email to fix the problem.
Is my data secure during transfer from my computer to GrexIt's servers?
All your data is transmitted from the browser running on your computer to GrexIt's servers over SSL, which encrypts and secures your data during transmission.
Is my data secure on GrexIt?
We understand that the security of your data on our servers is extremely important to you. We use servers that are constantly monitored for security, and are hosted with one of the most reputed hosting providers in the world. We use the latest software, the most latest security patches, and all security best practices in our software, servers and network. Online security today is a moving target, and we work hard to always be up to date.
Does GrexIt store my Google password?
No. GrexIt neither requires nor stores your password. As part of the sign in process, you provide your password to Google, and we use something called OAuth to interact with Google's servers. GrexIt will never ask for or store your password.
Should I be worried about adding some kind of content to GrexIt?
Essentially, whatever is secure in your email inbox is secure with GrexIt. You should be careful about keeping important financial information like credit card numbers, bank account access details, passwords etc. in your email inbox.

How much do you charge for the service?
GrexIt costs just $1 per user per month. If you are an educational institute, it costs $0.7 per user per month. View the complete pricing details here.
How does the 30 day free trial work?
You can sign up and start using GrexIt for your domain, and we'll not charge you for the first 30 days of usage. You can add as many users to your GrexIt account as you want during the trial period, and you can use upto 2 GB of storage.
What happens at the end of my trial period?
At the end of your trial, we'll generate an invoice for your GrexIt account for the following month, and send you the details over email. Just pay the invoice to continue using GrexIt. If you do not pay your invoice, your GrexIt account will be suspended in 7 days, and then be subsequently deleted.
How do we get the special Educational pricing?
If you are using GrexIt with a .edu domain, we'll automatically incorporate the discounts into your invoices. If you are an educational institute and not using a .edu domain, just write to us at support@grexit.com and we'll make sure you get your special pricing.
How do you take payments?
We currently support payment via Paypal only. You can use any credit card to make payments with Paypal. Please write to us at support@grexit.com if you need any help with payments.
What if I want to add more users to my GrexIt account?
During your trial period, you can add as many users to GrexIt from your domain as you want. Just go to the Users tab on your Manage GrexIt page to allow more users from your domain to access GrexIt. If you've added more users to your Google Apps account which you can't see inside GrexIt, just press the "Sync Users" button to pull in those users to GrexIt.
After your trial period is over, you'll need to buy User credits before you can allow more users from your domain to access GrexIt. To buy more User credits, go to the Billings tab on the Manage GrexIt page and click "Change Users/Storage". Please note that you'll be charged for the remaining days in the current billing period for the added users on a pro-rated basis.
How do I add more storage my GrexIt account?
While in your trial period, your domain can use up to 2 GB of storage on GrexIt for storing email conversations and attachments.
After your trial period, if you need to add more storage to your GrexIt account, go to the Manage GrexIt page for your domain, click "Change Users/Storage", and specify the amount of storage you need on GrexIt. Please note that you'll be charged for the remaining days in the current billing period for the added storage on a pro-rated basis.
I want to decrease the number of Users or Storage in my GrexIt account.
After your trial period is over, you can decrease the number of Users and Storage purchased for your GrexIt account. To do this, please go to the Manage GrexIt page for your GrexIt account, and click "Change Users/Storage".
From your next billing period onwards, you will be billed for the modified number of users or storage. Please note that you will not get a refund for the current billing period if you decrease the number of users or storage in your GrexIt account.
When I try to log in, I get an error saying "single sign-in feature is disabled for [mydomain.com]"!?
You're probably using Google Apps Premier or Education edition. All you really need to do here is to get your Google Apps domain admin to enable Federated Login for your Google Apps account. This is how its done:
- From Google Apps, click "Manage this domain".
- In the blue bar, click on "Advanced tools".
- Under "Authentication", click "Federated Login using OpenID".
- Make sure the checkbox labelled "Allow users to sign in to third party websites using OpenID" is checked.
- Click "Save changes".
You and others from your domain should now be able to log into GrexIt using your Google Apps email ids. If this still does not work for you, please write in to us at support@grexit.com and we'll try to figure this out with you.
When you try to submit a discussion to GrexIt using the browser extension you get an error message "Error with Mail Headers! Please refresh the page and try again".
The GrexIt browser extension might not work with non-english gmail interfaces currently. If you are using a non-enligsh display language for your google apps mail you might encounter this error. If you are using the English interface, and still seeing this, please write in to support@grexit.com and we'll work on figuring this out.
